While the alt text that Copilot produces normally needs some tidying up, it&#8217;s often quicker than starting from scratch.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Instructions<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Step 1:&nbsp;<\/strong>Find an image that you want to add alt text to.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Step 2:<\/strong>&nbsp;Go to&nbsp;<a href=\"https:\/\/www.office.com\/chat\" target=\"_blank\" rel=\"noreferrer noopener\">Copilot (office.com\/chat)<\/a>&nbsp;and sign in with your Coventry account. If you\u2019re already using Copilot, just select the \u2018New chat\u2019 button at the top right.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Step 3:&nbsp;<\/strong>Copy and paste the following prompt into Copilot, then use the &#8216;Add a file&#8217; button (the paperclip \ud83d\udcce icon) to attach your image. When you&#8217;re ready, select the \u2018Submit\u2019 button (the arrow at the bottom-right):<\/p>\n\n\n\n<div class=\"wp-block-coblocks-accordion\">\n<div class=\"wp-block-coblocks-accordion-item has-custom-font\" style=\"font-family:Inconsolata\"><details><summary class=\"wp-block-coblocks-accordion-item__title\">\ud83e\udd16 Prompt (click to expand, then copy and paste into Copilot)<\/summary><div class=\"wp-block-coblocks-accordion-item__content\">\n<p class=\"has-inconsolata-font-family has-custom-font wp-block-paragraph\" style=\"font-family:Inconsolata\">Here\u2019s an image. Firstly, I want you to tell me what the image is.<\/p>\n\n\n\n<p class=\"has-inconsolata-font-family has-custom-font wp-block-paragraph\" style=\"font-family:Inconsolata\">Secondly, I want you to ask me where the image will be used, and what the purpose of the image is. Wait for my response. Then create appropriate alt-text for the image.<\/p>\n\n\n\n<p class=\"has-inconsolata-font-family has-custom-font wp-block-paragraph\" style=\"font-family:Inconsolata\">The alt-text will be as an accessibility feature to explain the image to those with visual impairments or similar. Please avoid using specific colours in your description.<\/p>\n<\/div><\/details><\/div>\n<\/div>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Step 4:<\/strong> Check the alt-text that Copilot produces. Would it adequately describe the image to someone who can&#8217;t see it? Think about the function the image serves in its context. Ask Copilot to make tweaks if necessary (or you can manually make these yourself).<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Step 5: <\/strong>Copy and paste the alt text into the alt text box for the image. For example, in PowerPoint you can see the alt text box by right-clicking on an image and choosing &#8216;Alt Text&#8217;. In Aula, in edit mode, click on an image and then choose the icon for &#8216;Edit alt text&#8217; (it looks like a document). Make any changes as necessary.<\/p>\n\n\n\n<p class=\"is-style-warning wp-block-paragraph\"><strong>Important: <\/strong>Always check Copilot&#8217;s output.
