What? Give Copilot samples of your writing style, and ask it to write a new email in your style.
Why? Copilot is good at writing clear, concise English. You’ll always need to check and tweak its output, but it’s helpful as a starting point, especially for emails that you would find difficult to write (e.g. because the topic is complicated or emotive).
Instructions
Step 1: Find some emails that you’ve written that you feel are indicative of your style. Copy and paste these into a Word doc.
Step 2: Go to Copilot (office.com/chat) and sign in with your Coventry account. If you’re already using Copilot, just select the ‘New chat’ button at the top right.
Step 3: Select ‘Add a file’ (the paperclip 📎 icon) at the bottom right of the text box, and then in the file browser select the Word document on your computer which contains your sample emails. Don’t press submit yet!
Step 4: Copy and paste the following prompt into the Copilot message box, then select the ‘Submit’ button (the arrow at the bottom-right):

Please help me write an email based on my previous writing style. I have uploaded a document with previous emails I have written for reference. First, ask me what the purpose of the new email should be, and what key points it must include. Wait for my response. Next, ask me what type of English I want you to use – for example, American or British. Wait for my response. Then write the new email, ensuring it aligns with the writing style contained in the example emails I’ve uploaded. Maintain the same level of formality, punctuation, and formatting as the example emails provided. The email should effectively convey the purpose and key points while sounding like it was written by me.
Step 5: Tell Copilot the purpose and key points of your new email, and select the ‘Submit’ button.
Step 6: Copilot should produce a new email as instructed. Check it through, and ask it to change or improve specific things as necessary. Then copy and paste it into Outlook.
Important: Always check Copilot’s output. Generative AI tools can hallucinate (create plausible but incorrect information).
